AI Automation

AI that does actual work inside your operation — triaging support, drafting responses, enriching data and connecting the systems that were never designed to talk to each other.

The problem

The demo was impressive. The rollout is where it usually falls over.

Almost every business we speak to has now watched an AI demo that made the hair stand up on the back of their neck. Rather fewer have anything running in production that reliably saves a person an hour a day. The gap between those two states is not intelligence — it is plumbing, permissions, edge cases and trust.

Our approach is deliberately unromantic. We find the tasks in your business that are high-volume, low-judgement and well-documented, and we automate those first. We keep a person in the loop wherever a wrong answer would cost you a customer. And we instrument everything, so you can see what the system did and why.

The result is less impressive to watch and considerably more useful to own.

What changes when this is working

  • Routine support questions answered in seconds, at any hour, in your tone
  • Your team stops copying data between systems by hand
  • Long documents, calls and tickets summarised into something actionable
  • Escalation happens automatically when confidence is low or stakes are high
  • Every automated action is logged, reviewable and reversible
What we build

The workstreams inside AI Automation

Customer service automation

Ticket triage and routing, instant first responses, suggested replies for agents, FAQ deflection and proactive check-ins that stop small problems becoming refunds.

AI agents & assistants

Scoped assistants that work inside a defined boundary — your knowledge base, your policies, your systems — with clear handover rules to a human.

Content & document operations

Drafting, summarising, translating, tagging and repurposing at volume, with an approval step before anything reaches a customer.

Data enrichment & research

Lead enrichment, firmographic lookup, deduplication and competitive monitoring feeding straight into your CRM records.

API integrations

Middleware, webhooks, custom endpoints and scheduled sync between the tools you already pay for. The unglamorous work that makes everything else possible.

Guardrails & oversight

Prompt and policy design, confidence thresholds, escalation paths, logging and human review queues — so nothing runs unsupervised that shouldn’t.

How the engagement runs

From first call to running system

Find the candidates

We audit where your team’s hours actually go and score each task on volume, repeatability, risk and the cost of getting it wrong.

Pilot narrowly

One workflow, one team, tight scope, measured against a baseline. If it does not beat the baseline, we say so and stop.

Harden it

Guardrails, fallbacks, logging, permissions, review queues and a documented escalation path before anything touches a real customer.

Scale and monitor

Roll out to adjacent workflows, with ongoing monitoring of quality, cost and drift — and a kill switch that anyone on your team can reach.

Deliverables

What you actually receive

Every engagement ends with something you own, understand and can run without us in the room. That is the test we hold ourselves to.

Built with OpenAI, Anthropic and Google model APIs, orchestrated through Make, n8n or custom services, and wired into the helpdesk, CRM and commerce tools you already run.

  • A prioritised map of automatable tasks with effort and impact against each
  • Working automations running in your own accounts and infrastructure
  • Documented prompts, policies, guardrails and escalation rules
  • Integration layer and API connections between your existing systems
  • Logging and review dashboards showing what ran and what it decided
  • A quality baseline and the measurement to prove the system beats it
  • Team training on supervising, correcting and extending the system
Questions

Worth asking early

Will AI replace our support team?

In our experience it replaces the worst part of their job, not the job. The realistic pattern is that routine, repetitive contacts get handled automatically and your people spend their time on the complicated, emotional and valuable conversations they were always better at. We design for that outcome explicitly.

How do you stop it saying something wrong?

Layered defences: scoping the assistant to your own approved knowledge rather than the open internet, confidence thresholds that force escalation, forbidden-topic rules, a human approval step for anything sensitive, and full logging so mistakes are caught and corrected rather than repeated.

Do our customers know they are talking to a bot?

Yes, always. We will not build a system that pretends to be a named human being. Disclosure is both the right call and, increasingly, the legal one — and in practice customers mind far less than owners fear, provided the handover to a person is quick and obvious.

Where does our data go?

Wherever you decide, and we will show you exactly. We favour providers with clear data-processing terms and no training on customer data, we minimise what is sent, and we document the flow so your DPA and privacy notice can actually be accurate.

Is this expensive to run?

Usually far less than people expect, but it is not free and the cost scales with volume. We model the running cost before you commit and instrument it after launch, so you are never surprised by an invoice.
